Terms and Conditions for Holiday Packages
Payments, Pricing, and Cancellations
These terms and conditions apply to all travel packages organised by All Seasons Lapland. By booking a package with us, you agree to the following terms
1. Booking and Payments
- Confirmation: A booking is confirmed once the deposit or full payment has been received by All Seasons Lapland.
- Payment Schedule: A non-refundable deposit of 20% of the total price is required at the time of booking. The remaining balance must be paid no later than 30 days before the scheduled arrival.
- Group Size Requirements: For specific packages (such as the Arctic Summer Experience), pricing is based on a minimum group size. If the minimum number of participants is not met 30 days prior to departure, All Seasons Lapland reserves the right to cancel the tour with a full refund or offer the trip at a revised price.
2. Cancellation and Refund Policy
If a guest cancels their participation, the following fees apply:
- Cancellation more than 30 days before arrival: Full refund of the total price, excluding the 20% non-refundable deposit.
- Cancellation 30 days or less before arrival: No refund will be issued.
- Transfer of Booking: You may transfer your booking to another person up to 7 days before arrival at no extra cost, provided the new participant meets all travel requirements.
- Travel Insurance: We strongly recommend that all guests purchase comprehensive travel insurance to cover unexpected cancellations, medical emergencies, and lost luggage.
3. Changes to Itinerary and Force Majeure
All Seasons Lapland operates in the Arctic, where weather conditions can change rapidly.
- We reserve the right to alter routes, activities, or schedules for safety reasons or due to extreme weather (e.g., high winds on Lake Inari or the Arctic Ocean).
- All Seasons Lapland is not liable for delays or changes caused by circumstances beyond our control (Force Majeure), such as natural disasters, strikes, or road closures.
4. Guest Responsibilities and Health
- Physical Fitness: Guests are responsible for ensuring they are in adequate physical health for the activities described (e.g., light hiking on natural terrain).
- Dietary Needs: Food allergies and special dietary requirements must be reported to All Seasons Lapland at least 14 days before arrival.
- Travel Documents: For trips crossing international borders (e.g., Finland to Norway), guests must carry a valid passport or an officially recognized EU identity card.
5. Liability and Insurance
- All Seasons Lapland is not responsible for personal injury, illness, or damage to personal property unless caused by our direct negligence.
- Flights: Airfare to and from Ivalo (IVL) is not included. We are not responsible for any costs arising from flight delays, cancellations, or missed connections.
6. Photography and Marketing
All Seasons Lapland may take photos or videos during the trip for use in marketing materials and social media. If you do not wish to be included in these materials, please notify your hosts at the start of the trip.
7. Governing Law
These terms are governed by the laws of Finland. Any disputes shall be settled in the relevant Finnish court.
